Terms Of Service

Contracted Services
Contracted services include all services described in the selected package details reviewed and provided to the client. Any additional services or products requested by the client that create extra cost for 360 Event Rentals (the “Vendor”) will be billed directly to the client at cost. All services contracted cannot be deducted, but additional services can be added.


Retainer
For events more than 14 days away: An initial 50% retainer and a signed client agreement are required to secure the date. The remaining 50% is due 14 days prior to the event date. There is no penalty for paying the full amount prior to the event date.

For events less than 14 days away: Payment is due in full, and a signed client agreement is required to secure the date.


Payment Schedule and Method
For your convenience, payments can be made online using a valid credit card or approved online payment method. Payment may also be made by cash or check if agreed upon in advance.


Insurance
We are a fully insured company and can provide a Certificate of Insurance with $2,000,000 in aggregate coverage upon request. We can also list your venue as a certificate holder upon request.


Exclusivity
Client understands and agrees that they have hired 360 Event Rentals as the exclusive provider of the specific services outlined in this Agreement. In order to maintain a high level of satisfaction and quality of service, no other service providers, other than any assistant or third party that 360 Event Rentals hires to complete the services under this Agreement, are permitted to provide the same or similar services or products, paid or unpaid, at the locations and dates specified.


Responsibility
Vendor is not responsible for Acts of God, natural disasters, acts of government such as a declaration of national or local emergency, or other incidents not within the control of the Vendor, including but not limited to accident, death in the family, illness, pregnancy, or sudden tragic circumstances.


In such situations, Vendor will make reasonable efforts to obtain a qualified professional replacement to fulfill Vendor’s obligations under the contract at no additional charge to the client.


Liability
Vendor is only liable for services completed and provided by Vendor and cannot be held liable for the services of other contracted vendors. In no event shall Vendor be liable for consequential, incidental, or special damages of any kind.


Cancellation Policy
If the event is canceled, no portion of the fees paid to 360 Event Rentals will be refunded.

 

If the event is canceled less than 6 months before the event date, the second payment (or remaining balance) will still be required to compensate for hours of service already rendered and the loss of the event date.


If the event is postponed, contracted services can be applied to a new date if that date is available (see Postponement Policy).


Postponement Policy
If the event is postponed, all services will pause at the time of notification if no new event date is provided. The payment schedule will be adjusted once a new event date is confirmed.

 

If the client requests that services resume after a new date has been established, the second payment (or next scheduled payment) will be required at the time services restart.


Copyright Ownership
In the event that any copyrighted works are created as a result of the services provided by 360 Event Rentals under this Agreement, 360 Event Rentals owns all copyrights in any and all works it creates or produces, whether registered or unregistered, pursuant to federal copyright law (Title 17, Chapter 2, Sections 201–202 of the United States Code).

 

Any and all products, whether tangible or intangible, produced or created in connection with or in the process of fulfilling this Agreement are expressly and solely owned by 360 Event Rentals and may be used in the reasonable course of Vendor’s business, including but not limited to marketing, portfolio use, and social media.


Permitted Uses of Product(s)
Vendor grants to Client a non-exclusive license to use product(s) produced with and for Client for personal use only. Personal use includes, but is not limited to:

 

  • Use in photos on the Client’s personal social media pages or profiles

  • Use in personal creations, such as a scrapbook or personal gift

  • Use in personal communications, such as a family newsletter, email, or holiday card
     

Any commercial use, resale, or use in paid advertising by the Client requires prior written permission from 360 Event Rentals.


Damage or Loss of Accessories
Client agrees to exercise due care in handling and preserving the property of 360 Event Rentals, including but not limited to backdrops, props, stands, cables, and other accessories.

Client is responsible for all loss or damage to rentals and equipment caused by guests, attendees, or venue conditions, up to and including the actual replacement value of each missing or damaged item. Any damages or losses must be paid in full to 360 Event Rentals within 5 business days.


Protection of Equipment
Photo booth and video equipment must not be moved, adjusted, or unplugged by the client, guests, or venue staff unless specifically authorized by Vendor, as this can damage the equipment.

For outdoor events, the photo booth must be placed under a suitable covering provided by the client that protects the equipment from rain, hail, lightning, or other weather conditions.

If the booth must be relocated after setup (for example, moved from outdoors to indoors due to weather), an additional relocation fee of $100 will be charged to the client.


Appropriate Conduct / Safe Working Environment
The Client agrees to provide Vendor and Vendor’s staff with a safe, respectful, and appropriate working environment.


If at any time Vendor or a reasonable bystander determines that conditions present a threat or implied threat of injury, harm, harassment, or unsafe conditions for Vendor staff or equipment, Vendor reserves the right to immediately stop services and leave the event.

If Vendor must leave due to such circumstances, Client agrees to release and hold Vendor harmless from any resulting incomplete coverage or reduction in service quality. No refund will be provided in such circumstances.
